Website privacy policy

Animate Consulting LLC, doing business as Animate Behavior ("Animate Behavior," "we," "us"), operates www.animatebehavior.com. This policy explains what information we collect through the website, how we use it, and the choices you have. It applies to the website only. Information you share with us as a client or family is covered by our Notice of Privacy Practices, and information you share as an employee or applicant is covered by our Staff Privacy Notice.

1. Information you give us

• Request for Services form. When a parent or guardian asks us to evaluate or treat a child, we collect the child's name and date of birth, diagnosis information, the parent or guardian's name, phone number, email and address, insurance or funding source, preferred language, and the type of service requested. This form is hosted by Microsoft Forms under our Microsoft 365 account and is covered by a HIPAA Business Associate Agreement. Once submitted, this information is protected health information and is handled under our Notice of Privacy Practices.
• Phone and email. If you call (510) 500-5124 or email us, we keep the contact information and the content of your message so we can respond.
• Job applications. Our careers page links to Breezy HR, where applicants submit resumes and application answers. Breezy's own privacy policy also applies. Applicant information is covered by our Staff Privacy Notice.
• Review and feedback pages. If you leave a Google review through a link on our site, Google collects and publishes that review under Google's terms. We ask families never to include a child's name, diagnosis, or treatment details in a public review.

2. Information collected automatically

• Hosting logs. Our site is hosted by Webflow, which records standard server data such as IP address, browser type, device type, pages requested, and time of visit.
• Analytics. We use Google Analytics 4 to understand how visitors use the site: pages viewed, time on page, approximate location (city level), device and browser, how you arrived, and whether you clicked Request Services or tapped our phone number. Google Analytics sets cookies and may receive your IP address. We do not use Google Analytics data for advertising. Google Signals is turned off, and ads personalization is disabled in all regions.
• Cookies. The site uses functional cookies needed for the site to work and analytics cookies described above. It does not use advertising or cross-site tracking cookies.

3. How we use information

We use website information to respond to service requests and inquiries, schedule intake calls, process job applications, operate and secure the site, understand which pages and services families are looking for, and meet our legal obligations.

4. How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

• Service providers that host or run the site and our systems: Webflow (hosting), Microsoft (forms, email, document storage, telehealth), Google (analytics, search tools), and Breezy HR (applications). Each is limited to using information to provide services to us.
• Our clinical and billing systems once a family becomes a client, as described in the Notice of Privacy Practices.
• Legal and safety. When required by law, subpoena, or court order, or to protect the safety of a child, our staff, or the public. Our clinicians are mandated reporters under California law.

5. Your choices

• Analytics. You can block analytics cookies in your browser settings or install Google's Analytics Opt-out Browser Add-on.
• Do Not Track. Our site does not respond to browser Do Not Track signals because no common standard exists. We honor the browser-level cookie choices described above.
• Correct or delete. Email operations@animatebehavior.com to review, correct, or delete contact information you submitted through the site. Health information in a client record is handled under the Notice of Privacy Practices and medical-records law, which sets separate rules for access, amendment, and retention.

6. Children

Our website is for parents, guardians, referral sources, and job seekers. It is not directed to children, and we do not knowingly collect information online from anyone under 13 except information a parent or guardian provides about their own child through the Request for Services form.

7. Security

We use encryption in transit, access controls, multifactor authentication for staff accounts, and managed devices. No website or internet transmission is completely secure, so please do not send sensitive health details through unencrypted email. Use the Request for Services form or call us.

8. Links to other sites

Our site links to insurers, Catalight, regional centers, Google, Indeed, and other third parties. Their privacy practices are their own; review their policies before sharing information.

9. California residents

This policy satisfies the California Online Privacy Protection Act. Animate Behavior is below the California Consumer Privacy Act (CCPA) thresholds of $26.625 million in annual revenue or data on 100,000 or more California consumers, so the CCPA's consumer-rights provisions do not currently apply to us. Health information we hold as a healthcare provider is governed by HIPAA and the California Confidentiality of Medical Information Act, which carry stronger protections. We will still consider reasonable requests to access or delete non-health information you submitted through the site.

10. Changes

We will post any revised policy here with a new effective date. Material changes to how we treat information already collected will be announced on the site before they take effect.
